July Activities

Welcome to our 2nd monthly newsletter. Let us know if there is something you'd like to see or how we can make it better. https://www.dla.mil/Defense-Data-Standards/Contact-Us/.

DOCUSIGN: DEDSO's contract for the DocuSign Contract Lifecycle Management (CLM) module was signed on July 23. DocuSign CLM will allow DEDSO to automate the DLMS change process via templates, custom workflows for routing internal/external reviews with detailed version control, and automatic notification to users of actions that need to be taken. DEDSO will develop and field training as the process matures. More to come!

DLMS SUMMIT ACTIONS ITEMS: Have no fear! We are working on them! Track progress and answers at this link: https://www.dla.mil/

APPROVED DLMS CHANGES (ADCs) IN JULY:

- ADC 1452A establishes procedures for addressing incomplete unit of issue items (materiel not able to be issued in its full quantity) found in storage by downgrading the materiel and submitting an actionable Supply Discrepancy Reporting (SDR) to the owner.

Action: At a minimum the following systems must make updates: Product Data Reporting and Evaluation Program (PDREP), General Service Administration Vision, DLA Distribution Standard System (DSS)/Warehouse Management System (WMS), Army Logistics Modernization Program, Air Force Security Assistance and Cooperation, Air Force Wholesale D035K, Air Force Integrated Logistics System Supply, and DLA Enterprise Business System.

- ADC 1476 this administrative change provides clarification of data element use in DLMS 842A/W and DLMS 824A/R transactions for SDR.

Action: Components need to update their publications as necessary. No technical update.

- ADC 1464Athis administrative change replaces ADC 1464 in its entirety due to a numbering oversight on our part. The change is still valid and will enable materiel owners to segregate materiel both physically & systemically by stock allocation reference upon request at DLA.

Action: This change will impact any accountable property system of record or inventory management system required to segregate materiel physically and systemically by stock allocation reference. At a minimum, the DLA WMS will need to implement this change.

A FEW DEDSO ACTIVITIES FROM JULY:

Army FMS ACES System Development Assistance: Our Supply Discrepancy Reporting (SDR) and DoD Activity Address Directory (DoDAAD) Teams met with the Army foreign military sales (FMS) ACES (Army Case Execution System) program office to discuss requirements on how to implement an SDR module within the ACES system.

DLA Hazardous Material Reporting to Environmental Protection Agency (EPA): The Supply Team is working to find a permanent solution for complying with a requirement that the DoD report the locations and quantities of hazardous material to the EPA daily.

Foreign Military Sales (FMS) and Warehouse Management System (WMS): The Supply Team met with DLA Disposition Services on July 18 to discuss potential changes to the DLMS to support FMS materiel segregation using new WMS capabilities.

DoD G-Invoicing Lead Activities: The DEDSO Finance Team travelled to New Cumberland, PA, July 22-25, 2024, to lead cross functional teams through reviews of current processes to create to-be process flows in the G-invoicing environment while addressing offline ordering gaps, credit management, and additional data element requirements.

DLA FLIS Modernization Update: Our X12 gurus continue to support DLA Federal Logistics Information System (FLIS) Modernization efforts through collaboration with key stakeholders in Battle Creek, MI, July 22-26, 2024. DEDSO is at the forefront of making new FLIS transactions and existing associated data compliant with the DLMS.

Product Quality Deficiency Report (PQDR): Technical Programming Support: The PQDR Team is providing technical support to a PQDR Technical Requirements Integrated Product Team (IPT) led by Naval Supply Systems Command (NAVSUP). The purpose of this IPT is to ensure that all systems associated with the exchange of PQDR data are interpreting the DLMS 842P transactions the same way across the DoD.

Small Arms Reporting: On July 16, 2024, the Supply Team attended the Congressional Reporting - Small Arms Moratorium Fiscal Year 2024 Meeting. The meeting focused on reviewing joint Army/DLA small arms related data for annual reporting to Congress. To support of the Army's concerns for data integrity during the DLA WMS cutover, the Supply Team will provide technical support if needed to the DLA WMS Team.

GEE WHIZ/TRIVIA: Non-date entries in the required delivery date field of a requisition (and subsequent perpetuated transactions), (i.e., codes E, F, N, R, 444, 555, 777, and 999), are called Special Requirement Codes under the DLMS.
